The Role
We are seeking an experienced Administration Manager to oversee the day‑to‑day administrative and office functions of the business. This is a hands‑on role responsible for ensuring the smooth operation of the office, supporting the CEO, managing financial administration processes, and acting as a key point of contact for members, clients, and stakeholders.
This position is office‑based in Sydney’s CBD and suits someone who enjoys ownership, variety, and being the backbone of a small, specialised organisation.
Key Responsibilities
- Manage daily office operations and administrative processes
- Oversee records management, documentation, and correspondence
- Provide executive administrative support to the CEO as required
- Manage financial administration, including accounts payable and recievable, bank reconciliations, expense reporting, payroll processing and statutory reporting (via Xero, with external accountants)
- Maintain accurate financial and administrative records
- Liaise with members, clients, insurers, accountants, and other stakeholders
- Coordinate schedules, meetings, and office logistics
- Ensure compliance with internal policies and relevant regulatory requirements
- Deliver a high standard of customer service to members and clients
Essential Skills & Experience
- Proven experience in an office management or senior administration role
- Strong organisational and time-management skills with high attention to detail
- Excellent written and verbal communication skills
- Sound experience using Xero for financial administration and payroll
- Confidence managing multiple priorities and working autonomously
- Professional discretion when handling confidential and sensitive information
- Proficiency with Microsoft Office and standard business systems
Desirable (Not Essential)
- ANZIF qualification (ASIC RG146 Tier 2 – General Insurance Compliance and General & Personal Advice), or willingness to obtain (training provided)
- Experience in insurance, trade credit insurance, or financial services
- Exposure to the livestock or agricultural sector
- Qualifications in Accounting, Finance, Insurance, or a related field
- Experience working within a co‑operative or member‑based organisation
